BREA Board Meeting Minutes:  March 10, 2005

 

Christiansburg Public Library Meeting Room

 

The meeting was called to order at 7:05 PM by Ellen Oliver. Board members present: Bernard Hylton, Geanna Mullins, Debby Bright, Sue Bibb, Ellen Oliver, Janet Flory, Erica Jones, Adam Martin, Emily Hairfield, and Susan Icove.  Other BREA members present: Alice Alley and Dana Lacy.  Absent: Lisa DeHart. The Board voted to approve the February minutes as printed in the newsletter.

 

Membership Report (Debby Bright): We have 55 members (including individuals in family memberships).

 

Green Hill Report (Sue Bibb): This year GHPEC wants a $50 deposit which is held by GHPEC, uncashed, to make sure the facility is left in proper condition.  This check will be cashed if the facility is not cleaned up after our shows or events.  Sue has paid this for all three BREA shows

Treasurer’s Report (Sue Bibb):  No report.  Erica still has a bill for year-end trophy engraving and has not yet turned it in to Sue.

MARCH MINUTES CONTINUED FROM FRONT PAGE.

 

Newsletter Report (Ellen Oliver): Ellen reported that Jen Shrader Wolz has agreed to produce the newsletter, with Ellen’s assistance in sending her info from BREA Board meetings. Thanks, Jen! Ellen gets a newsletter from Commonwealth Dressage and CT Association which had a nice article about the USEA affiliate program.  She would like to run a similar article (edited to be relevant to BREA) in our newsletter.  Erica commented that BREA has done little to advertise USEA in the past. Debby asked about packets for new members – Ellen is going to do it and has been doing this.

 

Points and Volunteer Hours Report (Elaine Flory, via email):  No points received; no volunteer hours.  She asked that we emphasize to members that they need to send her points for local shows other than the three BREA shows. The only points she will record automatically are those from BREA-sponsored shows (the June and August CTs). Ellen apologized for sending out the outdated points rules and has made the correction to run in the March newsletter and to be sent in the future to any new members joining BREA.

  

Education Committee Report (Susan Icove):  Susan reported that she would try to organize a clinic with her husband, David Lander, on emergency first aid for show organizers and competitors and anyone else interested. Board suggested we combine it with a pot luck and maybe do it on a Friday or Sunday evening. Susan agreed to coordinate this. She also is interested in long-range planning for unmounted clinics for next winter. Any ideas are welcome; contact Susan to let her know what you’d like to hear about. Janet Flory mentioned having Sue Cooper as clinician.  Her specialty is “dressage for any type of horse”. Janet and Susan will try to plan a clinic in conjunction with Pony Club. If all riders are members of GHPEC or sign the day pass waiver and pay the $5, we do not need further insurance.  

 

Young Riders Report (Emily Hairfield): Emily just met with Bernard and other Young Riders and discussed fund raising possibilities. They discussed organizing a mock hunt at Bernard’s farm.  Another possibility is a cross country clinic organized around theme jumps – banks, ditches, etc.  They will try to get clinicians who will donate their time. Emily will keep the Board posted on their plans.

 

Southern States Labels Report (Linda Oberlender, via email): Linda says no new labels have come in. If you have some, please send them to her (contact info on front page of newsletter). Linda needs to turn them in to Southern States by the end of May so get them to Linda by early May.

 

 

 

Horse Show Report (Ellen Oliver):  Ellen will not be in town for the August show.  Arrangements need to be made for the judge to be paid.  Ellen has made a hotel reservation for the judge for Friday night. It’s in the judge’s name (Cindy DePorter).  Billie, as show secretary, will need to communicate with Cindy about the start time of the show that day, and how long of a day to expect. Ellen will contact Billie with Cindy’s contact information. Ellen asked if anyone has taken care of lining up concessions for the June and August shows (April 30 is a potluck). No one has done this so Ellen will call Bastians and try to line them up.  Roanoke Valley PC has used the Glenvar High School’s After Prom Committee before but that may not be an option in the summer.  Ellen will try both if necessary. Ellen has ordered ribbons for the year although we do have enough for the Cross Country Pace Event. They are stored in the BREA side of the building at GHPEC. Ellen mentioned that Jen Shrader Wolz emailed her a question about confusion for competitors when divisions in BREA “sanctioned” shows don’t match the names of BREA divisions. The Board voted and decided to assign points based on the jump heights in a competition regardless of the name given to the level. Janet Flory brought up her desire to be able to pay for a stadium course designer to ensure a safe course.   The Board voted to authorize show managers to spend up to $50 for designing and judging stadium for any CT this year.  Erica stated that we did that last year and it worked well and the Board agreed to continue the practice when necessary.

 

OLD BUSINESS:

 

Brochures:  Erica has written text and Ellen has gotten it to Niki McGhee who should have a mock-up to Ellen in a week or two.  Ellen will bring it to the next meeting. The Board discussed pictures for the brochure. Janet has given some to Lisa. Alice suggested that the rider needs to be informed, at least (permission maybe?) if we use their picture in the brochure.  

    

Work Day at GHPEC: The date set is currently May 21 but there is a horse show that day so this Work Day needs to be postponed. The Board decided to pick another date at the next meeting. The April 16th Work Day is still scheduled as we will work on cross country that day and so will not interfere with the show going on. Contact Geanna for more information about what time to be there and what to bring. This is an opportunity to work outside and get your volunteer hours done for the year!

Cross Country Pace Event: Erica has printed flyers which were passed out to Board members to distribute.  Debby wants copies mailed to Esters Sims and Muffin Pantaze.   Erica will mail to Muffin.  Bernard will get some to Esters.  Tammy has one.  T. McDonald needs some.  Ellen will send out PDF to pony clubs. Debby mentioned making a poster-board type display to take to shows, etc. (like SWVADA’s Educational Sunday) with BREA membership forms, entry forms, and brochures. The Board commented that the new facilities for Educational Sunday are very nice. The Board discussed offering to help SWVADA organize by coordinating David Lander to speak about emergency first aid. Ellen will contact Jeanette Shires about this for next year.   

 

Ellen has the BREA video library at Virginia Tack in Blacksburg. She would like to expand it some.  The Board asked Ellen to compile a list of possible additions to the library for the Board to peruse next month.

 

The Board member “Handbook” has been edited by Erica Jones and several copies went out to some board members.  Erica requested any editorial comments and will bring enough copies for those who did not get them next time. Emily Hairfield and Sue Bibb requested electronic copies.

 

 

Announcements:

Bernard has been building XC jumps, mostly BN and N, for Melyni Worth at her farm.  Melyni is planning a water jump too. She is talking about having Lucinda Green come sometime for a clinic.  She is not charging a fee for cross country schooling but needs forewarning if you would like to school there. It is easy to get to, and she has a beautiful indoor arena built too. Contact Melyni for more information at Melyni@ntelos.net.   

 

Dana Lacy states that she is a paramedic and is entering the Cross Country Pace Event. She is willing to bring her equipment and volunteer her services that day. She stated that her spouse can be bought for a small fee. (He is also a paramedic.)

 

The Board decided, due to conflicts, to move the meetings to the first Thursday of the month. The next meeting is April 7th at 7:30 PM. (Future meetings will begin at 7:00 PM but the library is already reserved on April 7 at 7 PM.) Erica will confirm the new dates with the library.

 

The meeting was adjourned at 8:15 PM.

NOTICE!!!

 

BREA Points Rules Information:  The Points Rules that were sent out in the recent membership packet are incorrect.  A correct version of the rules can be found at page 10.  The changes to the rules are as follows:

o        The chart located in the rules applies if there are between 2 and 7 starters in the class. More than 7 starters doubles the points you get. If you’re the only starter, you get 5 points for completing the event.

o        The Junior age is 18 and under (not 21).

o        The competitor him/herself must complete the initial 4 volunteer hours to be eligible to earn Year End Awards. But any person can perform volunteer work for a BREA member, after the first 4 hours, and those hours can earn the BREA member the vouchers that can be used as cash towards entry fees in BREA sponsored competitions.  There is a copy of the BREA Volunteer Validation Form on page 11.

 

NOTE:  If you want to accumulate points for Year End Awards from shows that are not BREA Sponsored (i.e. USEA Recognized Shows or BREA Sanctioned Shows), it is your responsibility to completely fill out the Awards Validation Form and mail the form to Elaine Flory at 1409 Grady Avenue, Apartment #2, Charlottesville VA, 22903.  There is a copy of the Awards Validation Form on page 11.  If the show secretary posts results on the internet, the results page can be emailed to Elaine at Elf3@virginia.edu instead of mailing the Points Validation Form.

Cross Country Pace Event

Organized by Blue Ridge Eventing Association (BREA)

 

WHEN:     April 30, 2005

WHERE:  Green Hill Park Equestrian Center

TIME:       10 AM to Noon; potluck picnic after the last ride

COST:      $20 for first ride ($15 for BREA members); additional rides for $10 each.

                Post entries only.

LEVELS:  Trot Track @ 220 mpm; Beginner Novice @ 300 mpm; Novice @ 350                       mpm; Training @ 400 mpm.  Teams and Singles are permitted at

each level.

 

All jumps are optional.  Placings are based on time (closest to optimum time). 

NO WATCHES PERMITTED!!

 

All riders must wear approved helmet.  Medical armbands and protective vests are recommended.  A current (within the last 12 months) negative coggins is required.

 

Course is open for walking at 3 pm on Friday, April 29.

BREA and the USEA Affiliate Program

Whether you are just thinking about entering your first combined test, or are representing your country in eventing at the Olympics, you are part of the same community of eventers, an incredibly supportive and enthusiastic group.  If you have just discovered eventing, you probably need LOTS of information, from the written rules to the unwritten expectations, to knowing where to find the events, or an eventing-oriented instructor.

 

The US Eventing Association (USEA, formerly USCTA) serves the needs of the US eventing community at every level, in a variety of ways.  Some of the ways they support the lower levels are by providing educational information, supporting clinics, and so forth. But many people who are just starting are not yet members of the USEA, and don’t know about these opportunities.  The USEA would obviously like everyone to become members, but, more importantly, they want the “fresh blood” to safely enjoy eventing, and to progress to the point that they ARE competing at the endorsed levels, and become USEA members.  “Eventing” magazine comes out 6 times a year, and contains educational and informative articles, aimed at those new to the sport as well as at the long time members.

 

Something like 80% of the USEA members compete at Novice and Training levels. An even larger number of riders compete at the levels below Novice, or at unrecognized events and many of these people are not members of USEA.  Many newcomers to the sport join their local eventing organization, such as BREA, without joining the USEA.  The local association then serves as a bridge between the USEA and the newcomers, contributing to making it a single, supportive community.

 

The USEA Affiliate Program provides a structure for coordination between the national organization (USEA) and the local eventing organizations.  These local associations have names like “Combined Training Association” (CTA), “Eventing Association”, or “Dressage and Combined Training Association” (DCTA).  By choosing to become official affiliates of the USEA, these organizations can promote education and involvement at all levels.  They can also provide input to the USEA, especially on the needs of the grass roots competitors. 

 

The Affiliates in Area II are

 

The USEA wants to ignite the sport of eventing across the United States, to riders and non-riders alike, to provide a strong regional and national foundation, to highlight the sport of eventing, and to recognize the programs that support and strengthen the sport.

 

Each affiliate organization identifies a representative to the USEA, and each Area has an Area affiliate representative, who coordinates between the individual affiliate representatives and the Area council.  The Area affiliate representative also coordinates with the affiliate representatives from other areas, and, through the affiliate committee, with the USEA and its Board of Governors. One of BREA’s lifetime members, DC McBroom, is currently a member of the USEA Board of Governors.

 

The USEA offers several different membership levels. One of the concrete benefits of the Affiliate program is that Affiliate members get a reduced fee for the “subscribing membership” category.  As a member of BREA you can be a subscribing member of USEA for $20 instead of $26.  You get all the issues of “Eventing” magazine, a membership card, and voting privileges, though you don’t get the “hard copy” omnibus (but you can always access the on line version), and you don’t get the right to compete at USEA endorsed events (without paying an additional fee).  When you do decide to move up to USEA endorsed competition, you can take credit for the subscribing membership, and just pay the difference to upgrade your membership. 

 

To get the special Affiliate rate, simply fill out the regular membership form (available at www.useventing.com).  Just write in “Affiliate” next to “Subscribing Member”, and cross out $26 and replace it with $20.  Then you need to write in “BREA” and the name and contact information of someone there who can confirm your membership (Debby Bright, for instance).

 

Other advantages to the affiliate organizations include insurance coverage for clinics, a listing in the omnibus (and on the USEA and Area web sites), and access to the membership lists of the USEA and of the other affiliates.

 

As a member of BREA, you are a member of a smaller, locally focused group.  But you are also part of the national, and even international, eventing community.

2005 BREA “Sanctioned” Events:

 

The BREA Board decided that any Combined Test or Horse Trials in USEA Area II or Area III can count towards BREA Year End Awards.  Points are awarded for divisions that match the jump heights set at BREA Sponsored Shows (i.e. a division that jumps at 2’ but is called Elementary earns points at the BREA Green level).  It is your responsibility to fill out and mail in the BREA Points Validation Form.

BLUE RIDGE EVENTING ASSOCIATION

POINTS RULES

 

To be eligible for Year End Awards for the BREA the following rules apply:

 

1.       The competitor must be a member in good standing at the time of the competition. If the competitor has not joined BREA before the competition, his/her placing at that competition will not count towards Year-End Awards.

 

2.       The competitor him/herself must have completed at least four (4) hours of volunteer service to the organization by November 1st of the current year.  The Points Chairperson will maintain a master list of volunteer hours and will note in the Points-to-Date standings when the volunteer requirement has been met.  For any hours performed beyond four (4), the member will receive a voucher at the rate of five dollars ($5) for each four (4) hours performed that may be used as cash for entries to BREA sponsored competitions.  It is the responsibility of the member to send his/her signed Volunteer Hours Record in to the Points Chairperson if he/she wishes to compete for Year End Awards as soon as he/she has completed four (4) hours. Any person can perform volunteer work for a BREA member to earn these vouchers.

 

3.       The member must enter at least one (1) BREA sponsored competition during the membership year. For 2005, these include the Cross Country Pace Event on April 30, the Combined Test on June 25, or the Combined Test on August 13.

 

4.       Points will be accepted from BREA sponsored, BREA sanctioned, or any recognized competitions.  For 2005, any unrecognized Combined Test or Horse Trials in USEA Area II or Area III is considered “sanctioned”. Points from BREA sponsored competitions (either the June or August CTs) will automatically be tallied by the Points Chairperson.  Points tallied from recognized and “sanctioned” competitions are the responsibility of the member.  A completed Points Validation Form signed by the Show Secretary must be received by the Points Chairperson within thirty (30) days of the competition, or email sent to the Points Chair with the link to the web site where results are posted.

 

5.       If the total number of starters in the class is between 2 and 7, points are awarded as follows:

                If the total number of starters in a class is more than 7, then twice the above points are awarded. If you are the sole

                competitor in a class, you will earn 5 points for completing the event.

 

6.       Year End Awards will be presented to the rider accumulating the greatest number of points on a single horse at a single level.  Therefore, if a horse and rider pair move up from one level to the next during the year, the two sets of points are accumulated separately and the pair could win awards at both levels.

 

7.       Six Year End Awards may be presented at each level for each division.  These levels include Green (two feet), Beginner Novice (two feet six inches), Novice, Training, Preliminary, and Intermediate.  Each level may be divided into two divisions: Junior (age 18 and under) and Senior.  A Championship and a Reserve Championship will be awarded to the first (1st) and second (2nd) place riders respectively, with ribbons awarded for the remaining places.  A Junior High Point Award, and Senior High Point Award, and a Horse High Point Award will be presented to the respective parties who accumulate the most total points during the year.

 

8.       Once a horse and rider combination has been awarded the Championship for Green, Beginner Novice, or Novice level, that pair will not be eligible for the Championship at the same level in the future.

 

9.       Points will be accumulated from December 1st through November 30th.  Awards will be presented at the Year End Awards Banquet.

 

In case of a tie, the award will go to the rider with the greatest number of first place points.
